How to delete a client or an employee, safely

When you delete a client or an employee, their appointments are permanently deleted too, including the ones in the history. There is no trash bin, and the operation can't be undone once it has run. That's why, when there are appointments to lose, the app doesn't settle for a button pressed on reflex: it asks you to type a confirmation word.

Step 1 — Open the profile and tap the trash icon

Open the client's or employee's profile and tap the delete icon in the top-right corner of the header. The icon only appears on an existing profile, not while you're adding someone new. For employees, the button is only visible if you have the right to delete employees (or if you're the account owner).

Step 2 — For employees: the block on upcoming appointments

If the employee has upcoming appointments, the app stops the deletion right away and shows you the message Unable to delete employee due to future appointments that he has. Please reschedule first.. There's nothing to confirm: first reschedule or cancel those appointments, then try the deletion again. The check runs once more at the moment you confirm, so an appointment that arrived in the meantime from another device can't slip through.

Step 3 — Read the title of the confirmation window

If there are appointments that would be lost, the type-to-confirm window opens. The title tells you exactly what disappears: Delete the client and :appointments for a client, Delete the employee and :appointments for an employee, with the real number of appointments in place of the text. Below the title it says All their appointments will be permanently deleted, including past ones., followed by the instruction in the next step.

For a client, the number in the title only counts the appointments that are actually deleted. Group appointments the client merely leaves keep running for the other participants, so they aren't counted.

Step 4 — Type the confirmation word

The instruction in the window is Type ":word" below to confirm., and the word to type is Delete itself, in the language you use the app in. Write it in the field below the text. The red button stays disabled until the word is typed correctly. Capitalization and diacritics don't matter — lowercase or unaccented spellings count just the same.

Step 5 — Confirm or back out

You have two buttons: Cancel closes the window without touching anything, while Delete runs the deletion. The window closes first, then the deletion starts and you're taken back to the screen you came from.

For a client, the deletion happens on the server before anything else: if it fails, you stay on the profile, you get the message We were unable to delete, and the client isn't lost. For an employee there is no such message — the employee disappears from the calendar immediately, and the rest syncs in the background.

Step 6 — When there are no appointments

If the person has no appointments to lose, you're not asked to type anything. You only get the confirmation question — Are you sure you want to delete the client and all the information associated with him (appointments, client history, client charts, reports? for a client, Are you sure you want to delete? for an employee — under the title How do you want to proceed?, with the options Delete and Cancel.

Optional: for clients there is no deactivation — a client either stays in the list or is deleted for good. For employees there is something close, but different: if the employee has a login account that's already activated and you have edit rights on them, their profile shows the User is enabled switch, which you can turn off. Confirm with Deactivate and the account is signed out on every device — If you deactivate the user, it will be logged out of all devices.. The employee loses access to the app but stays in the calendar together with all their appointments. If all you want is to stop someone from signing in, this is the option with nothing to lose.

If the invitation hasn't been accepted yet, the switch doesn't appear: in its place you see User is not activated and the Resend invite button.
